How many contacts do you have that you don’t know what to do with? They’ve been in touch with you, but you can’t remember when or why (their background, what led them to learn about your work, why they support your cause, who introduced them to you). Yet all this collected data is your organisation’s greatest asset. Ultimately, you reach out to them during stressful times (such as end-of-year donations or signing a petition) in a one-size-fits-all manner and do not nurture the relationship, but rather a utilitarian process.
How much time do you spend searching for information in your day-to-day work? A task assigned to you in the middle of a report that no one has ever taken the time to read? An email address jotted down on a spreadsheet lost in the depths of a cloud drive? The password for a service set up by someone who has since left the organisation?

The mental workload within voluntary organisations is often not shared widely enough, particularly because there is a disparity in commitment between paid staff, long-standing volunteers and those who get involved on a more ad hoc basis. Yet every hour dedicated to the cause should count equally. And if the learning curve for joining a voluntary organisation is too steep, there is a strong risk that some people will become discouraged.
The gap widens further when those with the information on impact-related issues devote a large part of their time to reporting. Time they will no longer spend in the field, with volunteers and beneficiaries (or they will continue to do so at the expense of their personal time).
Does all this sound familiar? It does to us… yes! We still remember the stress and the feeling of ‘not being up to the job’, the times when these sticking points even led us to withdraw from certain projects…
